About the department/group
The Business Support Unit's task is to support the university's education and research. As an employee within Business Support, you contribute to KTH's mission to conduct research, educate, and create social benefit, while simultaneously having the opportunity for your own professional development.
The School of Electrical Engineering and Computer Science and the School of Engineering Sciences are now looking for a new colleague for a shared position between the leadership offices of both schools. The work consists of a task in academically inspiring environments. Together with other functions within Business Support, you will have close cooperation with the core operations.
Job Description
The role of Contract Coordinator entails having primary responsibility for the contract functions of both schools. This means being a support for the School Director in contract matters, being the school's contact point for researchers and other parts of KTH, and participating and collaborating as the school's representative in relevant networks. Work on continuous improvement regarding contract processes, ensuring that contracts and documents are reviewed, handled, and signed according to the current delegation order, is part of the assignment.
The contracts consist largely of research agreements with external funding, but other agreements and understandings also occur; e.g., for various types of research collaborations, commissioned education, and industry doctoral agreements. The volumes regarding contracts are very large, and in addition to your own work, you therefore also coordinate and distribute tasks within contract management to the schools' 10 leadership support coordinators.
A significant part of export control is included in contract management, and as Contract Coordinator, you are the schools' coordinator for export control issues. The assignment aims to ensure the school's compliance with current legislation and KTH's export control program, which means that among other things you:
- Send copies of commercial documents and other documentation specifically concerning transactions of export-controlled products, including technical assistance, to the export control function at the Research Support Division, RSO.
- Keep the School Directors informed about the school's export control situation.
- Notify the export control function at the Research Support Division when any activity within the school requires special support regarding export control.
The work involves many and frequent contacts with project leaders for research projects, School Directors, etc. Therefore, it is important that you are communicative and relationship-building and that you can communicate freely in both Swedish and English, as you will work in an international environment where many within the schools' faculties are not Swedish-speaking.
You belong to the schools' Business Support, and one of the schools' Registry Managers is your nearest manager with personnel responsibility. In your role, you will be the contact person in the organization for many internal work processes, and you will be responsible for development work with efficiency and quality in contract management, as well as introduction and support to new colleagues who are to work with contract matters.

Qualifications
Requirements
- Bachelor's degree in social sciences
- Previous work experience in contract management at a university/college
- Very good ability to speak and write in Swedish and English as this is required in daily work.
- Good communication skills
- Very good knowledge of the Office package
- Previous experience working in different IT support systems such as W3D3 and CASE
